Everything Billi does

The whole product, in plain words.

Billi covers the sale, the purchase, the stock, the money and what it all adds up to. Below is the honest list — what each part does, and which plan it comes with. Where something is coming rather than here, it says so.

Money coming in

Sales & invoicing

A GST invoice that is right the first time, and stays right when you look at it again next year. Billi records what each invoice came to at the moment you raised it, so a reprint is the document you actually sent — not a fresh calculation that happens to agree today.

GST invoices

CGST/SGST or IGST worked out from the place of supply, HSN and SAC codes, cess, TCS and TDS. Exempt, nil-rated, composition and SEZ are all proper options, not workarounds.

Every plan

32 invoice designs, A4 to thermal receipt

32 designs in all, in categories — everyday, traditional GST, simple, corporate, retail, services and restaurants — on A4, A5 or an 80 mm / 58 mm thermal roll. Free has 2 for invoices with GST and 2 for invoices without, Basic 3, Pro 5 of each, and Ultimate and Business every design; thermal receipt designs are counted on their own (Free 1, Basic 2, Pro 3, Ultimate and Business all 4). Your colours, your logo, your signature, and a layout you choose per company — with one design for invoices that charge GST and another for invoices that do not, picked for you automatically on every bill.

More on each plan

Cancel, don't delete

A cancelled invoice keeps its number and stays in your records, so your numbering shows the gap an auditor expects. It stops counting toward sales and dues, and stock it took comes back.

Every plan

Correct an issued invoice

Fix a typo and resend rather than raising a credit note and a fresh invoice. The change is kept in the invoice's history with your reason. Owners can restrict editing to a window — 7 days through to a year, or not at all.

Every plan

Credit notes

A return or an adjustment handled as its own document, against the original invoice, and reflected in the customer's balance.

Every plan

Debit notes

When you under-charged — a price difference, a line left off, a charge missed — a debit note adds to the invoice as its own numbered document, and to what the customer owes.

Every plan

Bills of supply

Exempt and nil-rated sales go out as a bill of supply, with its own number series, the way the GST rules ask — not as a tax invoice that charges no tax.

Every plan

Round to the rupee

Leave totals to the paisa, or round every bill up, down or to the nearest rupee. The round-off prints as its own line and is counted in your profit, so the books still add up.

Every plan

Delivery challans

The delivery note that goes with the goods, made from the invoice with one tick, so nothing is typed twice. Goods and quantities only, never your prices. Its own number series, the three copies the rules ask for, and a delivery date you fill in when the goods arrive.

Pro and above

Ask a teammate

Someone on your team has the phone number you are missing? Leave a note on the client, vendor, product or invoice and tag them. They get an alert and an email, it waits for them under the bell, and it closes by itself when they fill in that field. Hidden until your company has a second person.

Basic and above

Salespeople

Tag each sale with who made it and see sales by salesperson — kept off the printed invoice, because the customer doesn't need to know.

Ultimate and above

Loyalty rewards

Customers earn points on what they buy and redeem them as a discount; spend tiers can give a standing discount. Your rules, switched on only if you want it.

Ultimate and above

Quotations

Send a quote before there is an order, track what is still pending a decision, and turn an accepted one into an invoice without retyping it.

Pro and above

Orders

Orders in hand, what has been delivered against them, and what is still to go out.

Every plan

Cart sale

The counter screen. Tap or scan items into a cart, take payment, done — for a shop where somebody is standing in front of you.

Ultimate and above

Payments & part payments

Record what has come in against each invoice, in parts if that is how it arrives, into the cash or bank account it actually went to.

Every plan

Recurring invoices & entries

A monthly retainer, a rent bill, a standing income — set it once and Billi raises it on schedule instead of you remembering.

Pro and above

Payment reminders

Follow up on what is overdue without keeping a separate list. Two at a time on Free, unlimited from Basic.

Unlimited from Basic

Customer portal link

A link your customer can open to see their own invoices and what is outstanding, without an account and without you emailing files back and forth.

Ultimate and above
Money going out

Purchases & expenses

The side most small-business software treats as an afterthought, which is why input credit goes unclaimed. Billi records a bill the way the vendor actually wrote it, including the awkward ones.

Vendor bills, line by line

A bill with 18% on the goods and 5% on the freight is entered as two lines with their own rates — not one blended rate that matches neither. Each line keeps its quantity, HSN/SAC, taxable value and tax split.

Every plan

Reverse charge & ITC

Reverse charge is handled as its own thing, with the credit gated on the tax actually being discharged — because that is when the credit is available, and claiming it earlier is how notices happen.

Every plan

Photograph the bill

Attach the actual paper to the entry, so a year later the record and the evidence are in the same place.

Every plan

Vendors

Suppliers with their GSTIN, registration status, categories and full purchase history — and what you still owe each one.

Every plan

Purchase orders to suppliers

Send a supplier a numbered order, mark it received when the goods arrive — stock goes in at that moment, not before — and turn the order into the bill without retyping it.

Pro and above

Expense categories

Your own categories, with the option to make one private — salaries, say — so it is visible to you and not to your team.

Every plan

Mandatory fields you choose

Decide what nobody may leave blank — a PO number, a cost centre, an HSN code — so the gaps do not show up at filing time.

Pro and above
What the business holds

Products & stock

You can invoice products and services on every plan, Free included. Counting stock starts at Basic, and the tools around it get deeper as you grow.

Products & services

Both, kept properly apart — a service does not carry stock, an MRP or a barcode, and Billi does not pretend otherwise. Brands, manufacturers, units and categories.

Every plan

Stock tracking

What you have, what has moved, and what a sale or a purchase did to it — updated as you invoice rather than as a separate chore.

Basic and above

Adjustments & low-stock alerts

Write off breakage, correct a count, and be told before something runs out rather than when a customer asks for it. Full stock history behind every change.

Pro and above

Barcodes

Scan to sell and scan to stock in, with a scanner or a phone camera.

Ultimate and above

Product variations

One product in several sizes or packs — a cake in 500 g and 1 kg, a shirt in four sizes — each with its own price, code, barcode and stock count, under one product name. A sale asks which one.

Ultimate and above

Stores & warehouses

More than one place to hold stock, with movement between them, when a single pile stops being the truth.

Ultimate and above

Price lists per customer

A customer who has negotiated their own rate gets it applied automatically, with a record of when it changed.

Every plan
Where the money actually is

Cash, bank & loans

Sales and bills tell you what should have happened. This part tells you what did.

Cash & bank accounts

Every account you actually use, with its balance moving as you record payments. Owner-only, and you choose how much of an account number your Admin or Accountant can see.

Every plan

Transfers between accounts

Moving money from the current account to petty cash is a transfer, not income and not an expense — and Billi records it as one, so neither figure is quietly inflated.

Every plan

Loans taken and given

Both directions, with repayments and interest tracked. Money borrowed is a liability and money lent is an asset, and Billi puts each on the correct side.

Every plan

Other income

The money that is not a sale — interest, scrap, a refund — recorded properly instead of being left out or disguised as one.

Every plan

Budgets

Set what a category should cost and see when it does not.

Pro and above

Privacy mode

One click hides every amount on screen — for a shared desk, a screen share, or a laptop on a train. It affects only the device you are on.

Pro and above
What it all adds up to

Reports, GST & your CA

Reports you can read without a finance degree, and — new in 1.0 — a chart of accounts that lets your CA stop re-keying a year of your invoices.

Profit & Loss and Balance Sheet

Where the money went and where the business stands, for any period you choose.

Every plan

GST reports

Output and input tax kept apart, because the difference between what you collected and what you paid is what the return is about. Downloadable for filing.

Every plan

Chart of Accounts

Billi builds a ledger-and-group mapping from what you already have — every category, customer, supplier, account and loan — and labels each guess as a guess. Correct one and it stays corrected.

Basic and above

Trial balance

Every ledger from the chart of accounts with its debit or credit, as at any date — with the opening-balance gap shown rather than hidden, so you and your CA can see exactly what still needs an opening figure.

Pro and above

Tally export

Your books handed to your CA as a Tally XML file — every sale, bill, payment and note as a voucher on the ledgers in your Chart of Accounts, for TallyPrime or Tally.ERP 9. Start with the one-month test export. Billi has not yet been checked against a real Tally installation, so import the test first.

Basic and above

Day book & party statements

Everything that happened on a day, and a full running statement for any customer or supplier — the two things you are asked for most often.

Every plan

Build your own reports

Pick the columns, the filters and the period, save it, and open it again next month instead of rebuilding it.

Ultimate and above

Scheduled reports

The reports you look at every month, delivered on schedule without you opening the app to fetch them.

Ultimate and above
Selling beyond the counter

Customers & online store

Customers

Everyone you sell to, with GSTIN, addresses, contacts, their whole history and what they still owe.

Every plan

Online store

A public storefront for your products with its own link, and the orders from it landing in Billi alongside everything else.

Ultimate and above

Online orders

Store orders in their own list, from placed through to fulfilled, without leaving the app you already use.

Ultimate and above

Refer a business

Pass Billi on to someone who needs it and both of you get something for it.

Every plan
Running it safely

Your team, your data

Said plainly, because this is the part where overclaiming would be worst: Billi encrypts sensitive identifiers, keeps a history of who changed what, and lets you get all your data out whenever you want. It does not claim to be unbreakable, and you should be wary of software that does.

Team & roles

Owner, Admin and Staff, each seeing what they need and not what they do not. Admins can open Cash & Bank; Company settings stay with the Owner, who also decides whether Staff can open Reports. Every plan includes one extra login for your CA. On every plan the Owner decides who may change company details, invoice settings and bank accounts, and on Business the Owner can switch off anything else each person can do — each switch marked High, Medium or Low so the critical ones stand out.

Every plan

History of changes

Who changed what, and when — with the old and the new value of each edit. Shown as, for example, “Amount: ₹10,000 → ₹8,000”, with bank and tax numbers cut to their last four characters. Kept for 30 days on Free, 45 on Basic, 60 on Pro, six months on Ultimate and a year on Business.

Every plan

Close the books

Once a month or a year is filed or handed to your CA, the Owner closes it. After that nobody can add, change, pay, cancel or delete anything dated inside it, until the Owner opens it again.

Business

Trash & recovery

Deleted an invoice, a payment, a credit note, a loan? It goes to Trash and comes back — with the balances it affected put back in the same step.

Every plan

Backups & export

Take your whole business out as a file whenever you like, or have it go to your own Google Drive on a schedule. Your data is yours and leaving is not made difficult.

Every plan

Two-factor sign-in

A code on top of your password, and verification codes that expire in five minutes and work exactly once.

Every plan

Encrypted identifiers

GSTIN and PAN — yours, your customers' and your suppliers' — are stored encrypted, so a stolen database dump shows ciphertext where the numbers were.

Every plan

More than one business

1 company on Basic, 3 on Pro, 6 on Ultimate and 10 on Business — each with its own books, numbering, designs and team, switched between in a click.

Every plan

Search for anything

One search box finds every screen, report and setting — “audit log”, “Tally”, “close the books”, “GST report” — plus Help answers and your own customers, products and invoices. It takes you to the right part of the page and shows which plan unlocks a feature you do not have yet.

Every plan

Phone, tablet and desktop

The same Billi on all three, installable to your home screen. Not a cut-down mobile version — the whole thing.
